Two ways to schedule
- From the send button — open the chat, click the dropdown arrow next to Send, and choose Schedule Message.
- From the Schedule tab — open the customer’s profile panel on the right of the chat and switch to the Schedule tab, then click Add Message.
Build the schedule

Name the schedule
Enter a descriptive Name so you can recognize it later in the Schedule tab.

Add your message
Add one or more messages. For each one, pick a type — Message, Image + Message, Document + Message, Audio + Message, or Video + Message — and fill in the text, caption, or media.

Sequence multiple messages (optional)
Click Add Message to chain more messages into a sequence. Drag to reorder them, clone a message, or remove one. Set a Min Delay and Max Delay (in seconds) to space each message out — the delay must be at least 3 seconds.

Set the date and time
Choose when the schedule should fire. The time must be in the future.

Save
Click Save. The schedule appears in the Schedule tab.
Advanced actions (optional)
Under Advanced Setting, you can have Clapvo run extra actions when the schedule fires — these work even if the message itself is turned off:- Groups — add the contact to, or remove them from, WhatsApp groups.
- Tags — add or remove tags on the contact.
- Kanban stage — move the contact into or out of a stage.
- Archive chat — archive the conversation after the schedule runs.
Manage scheduled messages
The Schedule tab lists every schedule with its date, time, and status:- Pending — waiting to send. You can edit or delete it.
- Sent — delivered. You can preview (read-only) or delete it.
- Failed — didn’t send. You can edit, preview, or delete it.
Tips
- Use a sequence with delays to mimic a natural, human-paced follow-up rather than one long message.
- A schedule sends from the WhatsApp number on that connection — make sure the connection is connected before the scheduled time. See Connection alerts.
- Editing is only available before a schedule sends; once it’s sent you can preview or delete it.
