What is WhatsApp Business Web?
WhatsApp Business Web is the browser version of your WhatsApp Business number. You open it on a computer, link it to the WhatsApp Business app on your phone, and your chats show up on the bigger screen. People search for it as business WhatsApp web, web WhatsApp business, or WhatsApp Web for business, and they all mean the same thing: answering customers from a laptop instead of a phone.
For one person, it is a real upgrade. You type faster, handle files more easily, and keep your phone free. The trouble starts when a second and third person need the same number, because WhatsApp Business Web was built to mirror one account onto more screens, not to run a team.
This guide covers how it works, how many people can use it, where it breaks, and what a team workspace changes. If you only want the device limits, our guide to using WhatsApp Business on multiple devices goes deeper on that part.
How do you log in to WhatsApp Business Web?
You link a browser to your phone by scanning a QR code. Open WhatsApp Business Web on your computer, then open the WhatsApp Business app on your phone, go to Linked Devices, choose Link a Device, and scan the code on the screen. WhatsApp's Help Center has separate guides for linking a device with a QR code, or with a phone number if you cannot scan.
Once the link is made, your chats and new messages appear in the browser. The phone remains the main device for the account, and the browser works as a companion to it.
Nothing in this setup creates a new login for anyone else. When a colleague opens the same QR flow, they are linking to the same single account, which is the point where teams start running into limits.
How many people can use business WhatsApp web at once?
The WhatsApp Business app can link up to four companion devices, according to Meta's documentation. Add the main phone and you have five screens on one number. A companion is typically a browser or desktop app.
Those five screens are not five users. Every one of them runs the same WhatsApp Business account, so the app sees one account talking, not five people. Two teammates can open the same chat at the same moment, and WhatsApp does not record which teammate sent which reply.
For two trusted people covering the same number, that can hold together. Past two or three people, it stops working, which is why so many small teams outgrow it earlier than they expect. Our post on multiple users on one number covers where that line sits.
What happens to WhatsApp Web for business when the phone goes offline
The phone stays the anchor of the account. Linked devices keep working for a while when the phone is asleep or offline, but they do not run forever without it. WhatsApp's Help Center says linked devices work without your phone online, but will log out if your phone is unused for over 14 days. You then have to link them again.
That creates a quiet single point of failure. If the phone is lost, wiped, or handed back by an employee who is leaving, the browser sessions go with it, and you can lose access to the account. We cover this risk in our post on number ownership.
For a team, the lesson is simple. Whatever you use, decide who owns the phone and the number, and keep the phone charged and online where you can.
Where does WhatsApp Business Web break for a team?
WhatsApp Business Web breaks for a team the moment two people work the same inbox with no sense of ownership. Two agents open the same new message, both reply, and the customer receives two answers a minute apart.
It gets harder from there. There is no way to assign a conversation to a named person, no record of who replied, and no private space where one teammate can leave a note for the next. A third person joins a thread halfway through without knowing what was already promised. A manager has no view of who is waiting on a reply or how long a customer has been left.
None of this is a flaw in the browser. It is a limit of one shared account mirrored across screens. Teams that want to see how work moves between people can read our guide to multiple agents on one number.
How does a Clapvo workspace work in the browser?
Clapvo is a WhatsApp workspace that runs in the browser, so your team works from a normal web login instead of from one person's phone. According to the features page, teams can assign conversations to the right person, drop private notes so teammates have context before replying, and see all chats, unread threads, and conversations waiting for a reply.
Teammates are invited into the workspace and given access that matches their role, so a person handling support does not need the same access as an admin. You can also connect more than one WhatsApp number as the team grows, and the same workspace also handles campaigns, templates, and contacts. We describe that setup for support teams in more detail.
The result is the same number your customers already know, with a workspace behind it that shows who owns each conversation.
How does Clapvo connect your WhatsApp number?
Clapvo links your number through the same Linked Devices method WhatsApp Web uses. You sign in to a new workspace, open the pairing screen, and on your phone go to Settings, Linked Devices, Link a Device, then scan the QR code. Pairing completes in real time, and the connected number shows up in Clapvo with a connected status.
The phone matters. It has to be present with WhatsApp open during pairing, and Clapvo links to your number as a linked device, so it appears in WhatsApp under Settings, Linked Devices, like any other linked device. The troubleshooting guide lists the common causes of a disconnection: the phone losing connectivity, being switched off for too long, someone unlinking the device in WhatsApp, or Meta restricting the account. A restricted account cannot reconnect until the problem is resolved with WhatsApp. Clapvo advises keeping the phone plugged in and on Wi-Fi where possible.
After pairing, you choose how to handle existing chats: connect without syncing and start with an empty inbox, or sync all previous chats so your history comes with you.
Is Clapvo the same as the WhatsApp Business API?
No. Clapvo is not the WhatsApp Business Platform, which is Meta's official API, and Clapvo is not affiliated with Meta or WhatsApp. It links a number you already control through Linked Devices, then gives your team a shared workspace on top.
That means Meta's rules still apply to how you use the number. Opt-in, approved templates where required, and sensible sending behavior matter, and sender rotation in campaigns reduces the load on any one number without controlling Meta's enforcement. Our comparison of the Business app and the API explains which one a small team needs.
If you need the official API itself, with its own onboarding and per-message fees, that is a different route. Clapvo is built for teams that want a shared inbox on the number they already have.
Where to start
If one person answers WhatsApp from a laptop, WhatsApp Business Web is enough, and it is included with the app. If two or three people share the number, or you cannot tell who replied to what, a team workspace will save you more time than it costs.
You can try Clapvo free for 7 days with no credit card. Connect a number, invite a teammate, and assign a few real conversations to see whether ownership changes how your team works. Clapvo is priced per WhatsApp connection, not per seat: the Gold plan is $25 a month (or R$149), including 10 team members, with annual billing at $199 a year. The pricing page has the current plan details.
